Export Executive

An Export Executive oversees the complete export cycle—documentation, shipment coordination, customs clearance, and communication with overseas clients. They prepare essential export documents, ensure compliance with INCOTERMS and customs rules, track shipments, and maintain accurate records. Their work ensures timely and error-free export operations.

Daily responsibilities include preparing export documents (Commercial Invoice, Packing List, Certificate of Origin), booking shipments, following up with freight forwarders, checking HS codes, coordinating with CHA, tracking shipments, and updating export data in ERP or Excel. Additionally, they respond to client queries and ensure timely dispatch according to shipment schedules.

Important export documents include Commercial Invoice, Packing List, Shipping Bill, Certificate of Origin, Bill of Lading/Airway Bill, Insurance Certificate, LC documents, and Export Declaration Forms. Depending on product type, extra documents such as Fumigation Certificate or Phytosanitary Certificate may be required. Accuracy is crucial to avoid shipment delays or LC discrepancies.

INCOTERMS define responsibilities between buyers and sellers related to transportation, insurance, and risk transfer. Common INCOTERMS used include FOB, CIF, EXW, FCA, and DAP. An Export Executive must understand cost implications, documentation requirements, and risk responsibilities associated with each INCOTERM to ensure proper export planning.

This is ensured by preparing error-free documents, verifying HS codes, coordinating with Customs Brokers, submitting mandatory certificates, and ensuring documents match (invoice, packing list, BL/AWB). Proper communication, timely submission, and maintaining an export documentation checklist help reduce delays and prevent penalties.

Companies prefer candidates with a bachelor’s degree in International Trade, Commerce, Business Administration, Logistics, or EXIM Management.
